Privacy Policy

In short: we collect the details you enter and the pictures you create, share them with the organization running the event, and Memik, its subsidiaries and our event partners may use the pictures for social media and marketing. We don't sell your personal information.
Who is responsible
PhotoGen is operated by Memik and its subsidiaries, including Photopic ("Memik", "we"), with the organizations and partners we run events with ("Event Partners").
What we collect
- Contact form: your name and email (required), and anything optional you choose to add: phone, whether you're a student, alum, faculty/staff, family or fan, graduation year, major, sorority/fraternity or organization, hometown, and whether you'd like updates.
- Photos: the photo you take or upload, and the pictures PhotoGen creates from it.
- Technical data: your IP address and basic request details (used to prevent abuse and keep the service running), and the frame you chose.
- On your device: PhotoGen stores your contact details, your recent pictures and a few preferences in your browser's storage, so you don't have to fill in the form again and can reopen your pictures. You can clear this in your browser settings.
How we use it
- To create your pictures and let you save and share them.
- To show the event organizer's team (through a private admin portal) the pictures created for their event, with the details you provided, and event statistics.
- For social media, marketing and promotion by Memik, its subsidiaries and our Event Partners, as described in the Terms of Service. Published content will not include your email address or phone number.
- To email you news and event updates, only if you ticked the box for that.
- To keep PhotoGen secure and working, and to understand how it's used.
Who we share it with
- Event Partners (the organization running the event and partners working with it), for the purposes above.
- Service providers that process data for us: Microsoft Azure (image generation with Azure OpenAI, hosting and storage) and Amazon Web Services (sending email). They may only use it to provide their services to us.
- When required by law, or to protect the rights and safety of people and our services.
We don't sell your personal information.
How long we keep it
We keep your details and pictures for as long as they're needed for the event and the marketing uses described above, then delete or anonymize them. Pictures that have already been published may remain where they were published.
Your choices
- You can ask to see, correct or delete your details and pictures, or stop receiving updates, by contacting us through photopicselfie.com. Every update email also has a way to opt out.
- Depending on where you live, you may have additional privacy rights; contact us to use them.
Security
Pictures are stored in private cloud storage and are only visible to PhotoGen and the organization's authorized admins through short-lived links. No system is perfectly secure, but we work to protect your information.
Children
PhotoGen is not intended for children under 13, and people under 18 need a parent or guardian's permission to use it.
Changes
If we change this policy materially, PhotoGen will ask you to review it again before your next picture.
